Create a Patient in TopsCephMate

The first step in creating a new patient is filling in the patient’s information. There are two ways to create a new patient: from images stored on a disk, or directly from Tops.


Create a New Patient from Disk:

  1. From the Tops Cephmate menu bar select File.
  2. Click New Patient from Disk... or New Patient from Tops Server...(if you pull your patient from Tops, most information will be pre-filled).
  3. Enter the First Name of the patient and press Tab.
  4. Enter the Last Name of the patient and press Tab.
  5. Enter the Chart ID Number and press Tab.
  6. Enter the Birth Date (do not type the slashes) and press Tab.
  7. Enter the Exam Date.
  8. In the next box, the default ethnicity is Euro-Caucasian. Click the arrow and select the patient’s ethnicity.
  9. Select the patient’s gender.
  10. Click OK to create the patient.

Select the photo:

  1. Open the folder that contains the photo.
  2. Select the photo and click Open.
  3. Click Skip Photo if you don’t want to import the photo.

Mark the photo:

For the correct orientation, Tops Cephmate needs to know the true vertical of your photograph. Marking the true vertical places the patient’s head in the natural position.

  1. If the patient’s head is vertical, select Assume Vertical.
  2. If not, follow the instructions and click on the top and bottom point of the true vertical line.

Place the image points:

  1. Click on the tip of the nose. You may want to magnify this area by holding down the Shift key and positioning the magnifier over the nose.
  2. Click on the soft-tissue glabella.
  3. The image will automatically resize. To rotate the image, click and drag along the pink curved arrows. To change image size, click and drag along the horizontal arrow. To move the entire image globally, click and drag directly on the image.
  4. Select Set Photo when ready.

Calibrate the x-ray:

  1. Click on the first point on the calibration ruler (0mm point on ruler).
  2. Click on the end point of the calibration ruler (45mm point on ruler).
  3. From the measurement tool, drag the pink point to display 45mm (or whatever the measurement is).
  4. Select Set Calibration.
  5. After you calibrate your x-ray the first time you use Tops Cephmate, simply select Use Default.
  6. The image will automatically resize. To rotate the image, click and drag along the pink curved arrows. To change image size, click and drag along the horizontal arrow. To move the entire image globally, click and drag directly on the image.
  7. Select Finish when ready.

Fine tune:

After setting the x-ray to the photo, you may need to do a little fine tuning to get the size and/or position right. There are several ways to reposition your x-ray on the photo:

  1. Increase or decrease size by dragging the mouse along the horizontal arrows.
  2. Rotate by dragging along the curved arrows.
  3. Reposition by clicking on the x-ray and when the four-directional arrow becomes visible drag the x-ray.
  4. Click Finish when satisfied with the orientation.


After you finish, Tops Cephmate fades the photo in order to place landmarks. Here are some more fine-tuning shortcuts:


Fade from x-ray to image:

  • Fade the image from x-ray to photo using the mouse and keyboard. Hold down the Option key and use the scroll wheel on the mouse or the or the up/down arrows.
  • Scroll by clicking and dragging along the circle on the line below the patient’s name on the left side of the window.

Change the contrast of a zoomed area:

  • Hold down the Shift key and use the scroll wheel on the mouse or the up/down arrows.

Increase or decrease x-ray or photo size:

  • Hold down the Command key and use the scroll wheel on the mouse or the up/down arrows.

Change the View with the Radial Menu:

  • Right-click the mouse anywhere in the application to display the radial menu. 
  • Select the appropriate view.
