Cancel an Appointment
Staff permissions are required to cancel appointments.
To grant a team member permission, go to Tops Ortho>Practice Set-up>Staff/Security and assign the appropriate access.
Once permission is granted, the staff member will not be prompted to enter a password when cancelling appointments.
If a staff member attempts to cancel an appointment without the required permission, they will see a password prompt. A staff member with the appropriate permission can enter their password to proceed with the cancellation.

Cancelling an appointment can be accomplished in multiple ways. The options are listed below.
Option 1 - Cancel from Appointment Book
- Go to Day > Appointment Book, or press Command B.
- Locate the appointment and right click on appointment square to open contextual menu.
- Select cancel appointment by patient or practice.
- Enter target recall date and select the create recall button.
Option 2 - Cancel from Patient Info > Appointments/Recalls Tab
This is useful when the patient does not remember their appointment date.
- Go to View > Patient Info > Appointments/Recalls/Lab, or press Command 3.
- In the Find Patient field, input the patient name using the first three letters of their first name, and the first three letters of their last name. Click Find, or press your Tab key.
- Double click on the name within the grid.
- Double click on the appointment that needs to be cancelled.
- This takes you directly to the appointment book and spotlights the appointment.
- Right click and select cancel appointment by patient or practice.
- Enter target recall date and select the create recall button.
View a list of appointments cancelled by patient or practice by completing the following instructions.
- Go to Matrix > Appointments.
- Enter a Beginning Date and an Ending Date.
- Click Use Selected Date Range.
- Access the filter field and select Cancelled by Patient or Cancelled by Practice from the dropdown menu located at the top of the matrix window. Note: Update the doctors and locations fields, if needed.
- Click Refresh.
