eClaims Statuses in DentalXChange


Once you submit your claims, view their statuses in your DentalXChange portal!

  1. Log in to DentalXChange: https://register.dentalxchange.com/reg/login?0
  2. Click on the Claim Search menu.

    Click Claim Search under Claims
Select Claims Search from the Claims menu
  1. Click on View Today's Activities. Any claim status updates and new submissions will display.

  2. Click the Patient Search tab to search by the patient's last name. The Subscriber ID is not required.

  3. Click the Claim Search tab and select the Provider option, and enter the corresponding claim ID found in Tops.




  4. Click on Advanced Search and enter your desired date range and any other details.


View Rejected eClaims

  1. Log in to DentalXChange: https://register.dentalxchange.com/reg/login?0
  2. Click on the Claim Search heading in the Electronic Claim Services tile.
  3. Click on the Rejected Claims link to view those that need attention.

  4. Reference the article listed at the bottom of this page on how to edit and resubmit a claim.  Additionally, the video link under DentalXChange resources provides additional help with addressing and resubmitting rejected claims through DentalXChange.

Once a claim reaches DentalXChange, the status must be checked within DentalXChange.  

Tops is not updated with the claim status.

What to know about claim statuses in DentalXChange

  • Once a claim has been successfully received by DentalXChange and the claim reflects as Clearinghouse Accepted in Tops Ortho, DentalXChange begins the process of sending the claim to the Insurance Payer. In DentalXChange, you can view both the claim details submitted from Tops Ortho and the progress of the claim’s status as it’s being submitted with the Insurance Payer. 
  • Status updates on the claim ONLY occur in DentalXChange, not in Tops Ortho.
  • There are some edge case scenarios where an Insurance Payer may not update a claim status in a timely manner or may accidentally send an incorrect status update. Please read:
    • It is the responsibility of the Insurance Payer to “update” their status on claims they have received from DentalXChange. A claim may reflect a status of Received when the practice has actually already received the processed payment. In this scenario, the Insurance Payer has not yet updated the status of the claim with DentalXChange to Processed.  The practice can manually update the status by marking the claim as Resolved and selecting the status as Paid. The practice can also enter the amount of payment. 
    • Additionally, there are times when the Insurance Payer updates the status correctly to Processed, but doesn’t update the amount paid. The amount may show $0.  Please note that the amount may not always be updated by the Insurance Payer.
    • Finally, if your practice clicks the button to Update Status while viewing a claim, a message is sent to the Insurance Payer to update the status of the claim. While very rare, there is a possibility that the Insurance Payer incorrectly updates the status. 

Reach out to the Insurance Payer first with any questions about a claim submitted through DentalXChange. Always reference the Claim ID found next to the claim in DentalXChange when speaking with the Insurance Payer.
