Managing Appointment & Recall Reminder Preferences
Appointment and recall reminders can be sent to patients by email, fax, SMS, or voicemail. You can set default reminder methods for new patients, and also manage reminder preferences for individual patients.
Set Default Reminder Methods for New Patients
- Go to Tops Ortho > Practice Setup.
- Enter your password and click OK.
- Navigate to Defaults.
- In the Appointment/Recall Reminders section, select the checkbox(es) for the reminder method(s) you want to use.
These settings will apply to all new patients by default.

Manage Reminder Preferences for Individual Patients
A patient’s Appointment/Recall Reminder preferences can be viewed or updated from the Patient Information window.
- If a patient does not want to receive a specific type of reminder, uncheck that reminder method.
- If a patient wants to stop receiving all reminders, uncheck all reminder methods.

Reminder and Recall Preferences for TopsDPX
When the system rolls over to the next day, Tops sends future appointment or recall details to TopsDPX only for the reminder types selected (SMS, Voicemail, or Email).
Note: If an appointment or recall reminder was already queued in TopsDPX on the day the patient’s chart was updated, that reminder will still be sent.
Important Notes About Reminder Usage
Appointment/Recall Reminder preferences in Tops apply only to the following automated, appointment-related reminders:
- Confirmation requests
- Confirmation reminders
- Appointment reminders
- Missed appointment reminders
- Recall reminders
- Review Requests
Other communications sent through TopsDPX—such as Birthday Reminders, broadcast texts, and email campaigns—are not controlled by these settings. Those communications must be managed individually through the patient’s Opt Out preferences in TopsDPX.
