Google Workspace Update

Google is making an important change that may impact how you send emails through Tops. Starting September 30, 2024, Google Workspace accounts will no longer support "Less Secure Apps" that use only your username and password. This means you’ll need to use a more secure authentication method with OAuth to continue using Gmail with Tops. Here is what you need to do:

Set up a Google Workspace Account

To continue using Gmail with Tops, you must have a Google Workspace account with your own domain name, not a free Gmail account. Once your Workspace account is set up, you can enter your new credentials into Tops by following these steps in the related article below, Set Up Your Outgoing Mail Server.


Use App Passwords if you have a paid Google account

  • If you already have a paid Google Workspace account, you will need to switch to an app password. Here’s a quick guide:
  • Login to the Admin Console.
  • Click Authentication on the left side, then select 2-Step Verification.
  • Check the box to Allow users to turn on 2-Step Verification. Keep enforcement marked as OFF.
  • Login to the managed user account that will be used for sending emails in Tops.
  • Go to Security, turn on 2-Step Verification, and expand the 2-Step Verification options.
  • Scroll down and create an App Password, naming it “Tops.”
  • Copy the App Password generated.

Update your Tops Settings

Once you have your App Password, update the settings in Tops:

  • Go to Tops Ortho > Practice Setup > Info.
  • Select the existing Gmail or add a new SMTP server.
  • Update the details:
    • Outgoing Server Name: smtp.gmail.com
    • Port (SMTP): 465, 587, or 25
    • TLS: off (sometimes ON)
    • Require Secure Sockets Layer (SSL): on
    • Use Authentication: on
    • User Name: your full email address
    • Password: The App Password you generated in the previous step
