Treatment Notes from the Matrix Menu
Each patient that was seen in your practice today must have an associated treatment note. This note is saved in Patient Information–Clinical as part of the patient’s record. If a treatment note was not entered for the day and rollover occurred, you cannot add a note for that date. Tops Ortho provides a matrix to view patients' treatment notes as well as any missing ones. You can then remind the assistant to create a note for the patient before leaving for the day.
Treatment Note Tasks

Viewing Treatment Notes
- Click Matrix from the menu bar.
- Click Treatment Notes, at the bottom.
- From the task menu in the upper left, choose the view you’d like to see.
- You can verify treatment notes have been added or missed in the Notes column.
- Double-click on any patient’s name to open the patient's chart and add the treatment note.

You can check and approve treatment notes individually in the Treatment Notes Matrix or directly on the Treatment Note by clicking the Approve Treatment Note button.

Or you can approve notes en masse by clicking the checkbox in the Treatment Notes list and clicking the Approve Treatment Notes button. Approving notes locks notes against future edits. Treatment notes will automatically lock at rollover.
Today's Treatment Notes without Notes
- From the task menu in the upper left, choose Today's Treatment Notes without Notes
- The displayed patients are those that do not have a treatment note.
- Double-click on any patient’s name to open the patient's chart and add the treatment note.

The Locations Filter
When filtering by location, the results are based on the location of the workstation that enters the treatment note, not the location of the appointment.
To check your assigned workstation location, go to Tops Ortho>Workstation Preferences...
