Manage and Review Auto-Pay Plans
Run a list of all patients that need to have their payments processed. Tops provides a list of all auto-payment plans. Sort by any column and highlight to review selection totals.
Viewing Auto-Payment Plans
- Click Matrix from the menu bar.
- Click Auto Pay Plans.
Column Headers
- Total Remaining balance
- Next Date for Processing*
- Next Payment Amount
- Payment Status
- Card Expiration
- Card/Account on File
- Merchant *
*Next date for processing - will show date of furthest back declined payment for TopsPay

The TopsPay Auto-Pay plan allows a practice to identify cards with upcoming expiration dates, easily identify upcoming processing dates and how much is expected to process, and view accounts that have declines or potential errors in how the autopay plan was established. The report can also be exported.

Use the filters at the top of the window to filter the report by the payment processors (TopsPay, Manual or Orthobanc).

Easily access a patient's chart or auto-pay plan directly from the report.
- Click Matrix from the menu bar.
- Click Auto Pay Plans.
- Click on a patient’s name.
- Right-click to display the contextual menu.
- Click Open Auto-Pay Plan. This will open the patient’s plan

View posted Auto-Pay Plan Detail
You should verify the list of auto-payments along with the Auto-Pay Detail report. This assures that you have processed the payments.
- Click Reports from the menu bar.
- Click Auto Pay Detail.
- Enter your password, then click OK.
- Verify the list of transactions to your Auto-Pay Plan list.
Adjust an Auto-Pay Plan

If you need to adjust an auto-payment plan, you must deactivate it first. In doing so, you will clear all the past information from the original plan. The new plan is created from this moment forward. The original information is stored in the patient’s ledger or receipts if you need to refer back to it. This information will always be available. Before recording a new auto-pay plan, make sure that all dates reflected are correct and are future dates. By recording a plan with the existing date or past dates, the auto-pay plan will not behave as intended. Please reference the article - Modifying an Auto-Pay Plan
