We've been busy making Tops even better! From new reporting options and easier access to patient information to improvements in your daily workflows, Tops 9.13 brings some exciting enhancements to your practice.

Appointment Matrix – More Information at Your Fingertips!
Looking for more details when reviewing your appointments? We've added two additional configurable columns to the Appointment Matrix, along with four new options to help you customize the information displayed.
You can now choose from:
- Reason for Emergency Visit: Quickly identify the reason for a patient's emergency appointment.
- Appointment Creation Date: See when an appointment was originally created.
- Account A Phone Numbers: Access phone numbers associated with Account A.
- Account B Phone Numbers: Access phone numbers associated with Account B.

Auto-Pay Plan Matrix – Keep an Eye on Your Co-Pay Balances!
Ever wonder whether a patient's remaining Co-Pay Balance aligns with their scheduled Auto-Pay payments?
We've added a new Co-Pay Balance column to the Auto-Pay Plan Matrix, making it easier to review the patient's remaining balance alongside their Auto-Pay Plan.
This is especially helpful when identifying plans that may need to be reviewed, adjusted, or deactivated.
Tops Tip: Remember, Auto-Pay Plans operate independently from the patient's contract and account balance. If a patient pays off their remaining balance before their Auto-Pay Plan is complete, be sure to deactivate the plan. Otherwise, scheduled payments will continue to process or post according to the plan's schedule until the plan is deactivated or all scheduled payments have been completed.
Even after an Auto-Pay Plan has completed posting all scheduled payments to the patient's ledger and reflects $0 remaining, the plan must be still manually deactivated.
Want to quickly identify completed plans? Sort the Matrix > Auto-Pay Plans report by the Total Remaining column to locate plans with $0 remaining that may need to be deactivated.
Invoices/Receipts Matrix – Print or Email with Ease!
Need to print or email invoices and receipts? We've improved the Invoices/Receipts Matrix to make these tasks easier.
You can print or email invoices and receipts directly from the matrix, helping your team manage patient financial documents more efficiently.
We've also resolved a couple of issues:
- Improved the Email Checked function to prevent additional windows or empty attachments when a selected row doesn't generate an attachment.
- Resolved an issue where using Print Checked with certain receipts could cause Tops to become unresponsive without opening the print dialog.
Appointment Information – Lock the Appointer!
Need to keep the Appointer information from being changed accidentally?
We've added a lock option to the Appointer field in the Appointment Information window, giving your team additional control over appointment details. The Appointment Information window will display the appointer as the person logged into Tops. If the Appointment is changed to a different team member, a password prompt will appear.

Since this is a new privilege, all orthodontists and staff members who need the ability to change an appointer will need their permissions updated.
We've also resolved an issue in the Appointment Information window:
Resolved an issue where certain Appointment Information fields could remain editable after an appointment's editability changed.
Letters – New Treatment Method Placeholder!
Creating letters just got a little easier!
We've added a new Treatment Method placeholder to the Letters feature, allowing you to include the patient's treatment method in your letter templates.
To find the new placeholder, go to:
Tops Ortho > Practice Setup > Letters/Forms > Letters > Format > Show Placeholders
ADA 2024 Claim Form – Now Available!
The ADA 2024 Claim Form has been added to the available forms in Tops.
You can find it under Tops Ortho > Practice Set-up > Letters/Forms > Forms to update your Default Insurance Claim Form.
Easily change your form templates on existing claims by right-clicking on a claim and selecting to change the form:
Employer Policies – Search by Group Number!
Looking for an existing Employer Policy?
You can now search for existing Employer Policies using the Group Number, giving your team another way to locate the policy information they need.
Tops Tip: Need to quickly find an Employer Policy without opening a patient's chart? While the Group Number isn't displayed in Matrix > Employer Policy, you can press Command + Y to open the Employer Policy search window. Enter the Group Number to quickly locate the policy you're looking for!
Account Information – Foster Parent Relationship Added!
We've added Foster Parent as an available Relationship to Patient option in Account Information.
This gives your team another option when documenting account holder relationships.
Recalls Matrix – A Quick Refresh!
Need to see the latest recall information?
We've added a Refresh button to the Recalls Matrix, making it easier to update the information displayed without leaving the matrix.
Transaction Audit Trail – Jump Right to the Ledger!
Reviewing a transaction in the Transaction Audit Trail?
We've added hot-click functionality, allowing you to open the ledger associated with a selected patient's transaction entry.
This makes it easier to move from reviewing transaction history to examining the details in the ledger.
We've also improved reporting in the Transaction Audit Trail:
When posting insurance payments, the posting workstation is now included in the Transactions/Audit Trail entries for insurance payments.
Patient Appointments – See Who Scheduled It!
Want to know who scheduled an appointment?
We've improved the By column under Patient Information > Appts/Recalls to display the Appointer Short Name.
This provides another helpful detail when reviewing a patient's appointment history.
Tooth Chart – Improved Elastics Legend!
We've made the Tooth Chart printout a little easier to read!
The elastics legend now includes Left, Front, and Right labels, helping clarify the information displayed on the printed chart.
Gaidge Analytics – Additional State-Funded Start Counts!
For practices using Gaidge Analytics, we've expanded the information included in the Gaidge Analytics XML exports.
The export now includes State-Funded treatment start counts for:
- Full Treatment
- Phase I
- Phase II
These counts are based on initial fees charged during the reporting period.

We've also made several behind-the-scenes improvements to help Tops run more smoothly.
Treatment Notes
Resolved an issue where changing a highlight color could incorrectly display a warning that another user had changed the note.
D7 Matrix
Resolved an issue that could cause patients to incorrectly appear with a treatment status of No Treatment on the D7 Matrix.
Auto-Pay Plans
Resolved an issue that could allow Manual Auto-Pay Plans containing past-dated payments to be activated under certain circumstances.
New Transactions
Resolved an issue that could allow negative amounts to be entered when creating certain new transactions.
Practice Set-up > Treatment Notes
Resolved an issue that prevented users from unhiding wait days under Practice Set-up > Treatment Notes > Next Appointment.
Transactions of Type Report
Resolved an issue where transaction dates could be omitted from report exports.
Deposit Slips
Resolved an issue that could cause an unexpected error when changing a deposit slip to a past date.
And, of course, we've included various additional bug fixes and improvements to keep Tops running smoothly!
