Processing an Insurance Credit Card

Insurance companies often send payments in the form of a one-time use credit card. Below are the steps to follow when processing an insurance credit card payment.

1. Press Command T on the keyboard to open the transaction window.
2. Once the transaction window is open, enter the patient name and select accountholder, if applicable, from the drop-down menu.
3. In the fee payment type field select Insurance Payment - Credit Card.
4. The window will change to Multi-Claim Insurance Transaction.
5. Enter the amount of payment. Once this is entered you will see the Use TopsPay checkbox. (The box is checked by default).
6. Enter the patient's name, account holder, and amount of payment.
7. Select the claim.
8. Repeat the above steps for all patients included in the insurance payment until the payment total is reached.
9. Click on Add Multi-claim Insurance Transaction to Tops.

10. The credit card window will open.
11. Select Use new card to enter a card.
12. Enter the Insurance company name in Card holder name field.

13. Select Create Card; once you click on this the payment will process!

View the Payment in your TopsPay Portal

When a Multi-Claim Insurance Transaction is processed through TopsPay, the payment is visible in Stax(via Reports>TopsPay Portal>Payments) .

The payment will reflect the entire amount processed. The payment will not reflect the individual claim payment amounts per patient.

The Account Holder of the first patient listed in the Multi-Claim Insurance Transaction window will be the customer name in Stax that is associated with the payment, not the card name entered (i.e. Delta Dental).
