How Doctor Time Works
Doctor time is the number of minutes the orthodontist will be needed at the chair for a specific procedure. Here is how to use the Doctor Time feature in Tops Ortho!
Add Doctor Time to an Appointment Type:
- Go to Tops Ortho > Practice Setup > Calendar > Appointment Types.
- Select the appointment type/procedure to which you wish to assign Doctor Time.
- Click and drag to select the portion of the appointment for which the doctor will be needed. Your selection will show in gray.
- If you wish to select more than one portion of the appointment, click and drag to select your first time block. Then hold down the Command key and click and drag to select the next time block.
How Doctor Time Factors in an Appointment Search:
- If there is already an appointment on the schedule requiring Doctor Time, Tops Ortho will not let you schedule another appointment that overlaps the Doctor Time. Your doctor can't be in two places at once!
- If you have more than one doctor in your practice, you will be able to schedule more than one appointment with Doctor Time at the same time, as long as there is a doctor available.
It's important to remember that Tops Ortho will look at the doctor assigned to the appointment when determining if the appointment can be scheduled.
- In our example below, the Debond appointment type requires Doctor Time. But since Colin's and Pepper's appointments are assigned to two different doctors, Tops Ortho allows staff to schedule these two appointments at the same time.
Doctor Time on the Schedule Grid:
You can see the Doctor Time scheduled for a given day:
- Open the appointment book; go to Day > Appointment Book or press Command B.
- On the top left, use the right/left arrow icons or the date field to navigate to the day you wish to view.
- On the bottom left corner of the appointment book, press the DT icon.
- The Doctor Time grid will display to the left of the appointment book. Each doctor has his/her own column labeled with their initials. Colored blocks represent the times they are scheduled in the appointment book.
- This grid is a great tool to identify if your doctor's time is being over scheduled.
