Create Schedule Templates

Need a new template but not sure where to begin? We've got you!


Create your Appointment Groups:

  1. Go to Tops Ortho > Practice Setup > Calendar.
  2. Click on the Appointment Groups tab.
  3. You can use the default Appointment Groups and colors if you wish.
  4. To add a new Appointment Group, click the + icon.
  5. To remove an Appointment Group, highlight the group on the list and click the minus icon.
  6. For each Appointment Group, assign:
    1. Group Name
    2. Short Name (this will appear on the template)
    3. Color (click the Color box and a color picker will appear; click Set to choose the color).
    4. Appointment Types; click Add Appointment Type to Group and select the appointment type from the dropdown menu that displays.

Adding Appointment Types to Appointment Groups enables you to use the Appointment Search feature in Tops Ortho (Command U). Referring to the example below - if the office searches for an Adjustment or Virtual Check, Tops will search for the "Adjustments" Group in the template.

Name your template and assign its frequency:

  1. Go to Tops Ortho > Practice Setup > Calendar.
  2. Click on the Schedule Templates tab.
  3. Click the + icon to add your new template.
  4. Assign your template the following:
    1. Name
    2. Short Name
    3. Opening and closing times
    4. Days Used
    5. Frequency (Every Week, Every other week starting this week, or Every other week starting next week)
    6. The day(s) to apply template (use the checkmark)
  5. Click Save Days Used.
  6. Double-click the square on the right side of the window to open the template builder.

Build your template:

  1. Click and drag in your template grid to draw procedure groups.
  2. After you draw each one a window will display; select the procedure group you want to use.
  3. Click OK.

  1. Continue drawing your procedure groups on the template. You can shorten or lengthen groups you have already drawn by clicking and dragging the box.
  2. Add and remove columns using the buttons on the top right.
  3. Name your columns by double-clicking the New Column heading and typing the desired name.
  4. When you are done, click the red button to close the window; then click Done.

If you would like to make a template that is similar to an existing one, highlight the existing template and click "Duplicate Template." Rename your new template and make your edits.
