Add a New Patient

Tops Ortho makes it easy to create a new patient chart!

  1. Make sure the patient does not already have a chart; go to View > Patient Info... or press Command I.
  2. Search the patient's full name; if no results come up, click the Create New Patient button.
  3. The Patient Info window will display. The fields required by Tops Ortho show in red in the image below.

  1. The required information is the minimum; try to enter as much as you can. Add freeform notes, such as "Patient had braces ages 12-14," in the Patient Notes section.
  2. Search for the Account Name. This step is very important, as it allows you to link the new patient to family members.
    1. If the Account Holder already exists in Tops Ortho, select the name from the search window and click OK.
    2. If the Account Holder does not yet exist in Tops Ortho, select Create New Account in the search window.
  3. You will see patients connected the account on the bottom right.
  4. Click Add New Patient to Tops.
  5. The patient's newly created chart will open for your review.
  6. If you made an error and need to change the account holder assigned to the patient, click the delta symbol in the Account tab and select Change Account Holder.
    1. If no financial records exist for the patient, a new search window will display and you will be able to search/enter correct Account Holder.
    2. If financial records exist for the patient, you will receive a message that the Account Holder cannot be changed. You may need to create a new patient chart or add the correct Account Holder in the Account 2 tab.
