Display Background on Specific Pages in a Letter Template

Cover a Letterhead Background in a Letter Template

If your letter template uses a background that includes your practice letterhead, the letterhead will appear on every page of the document. To create a clean area for additional pages or content, you can place a white shape over the background. Text boxes and images added afterward will appear on top of the shape, preventing the letterhead from showing through.


Open the Letter Template

  1. Log in to Tops.
  2. Navigate to TopsOrtho>Practice Set-up>Letters/Forms
  3. Select the Letters tab.
  4. Locate the letter template you want to edit.
  5. Click Edit Letter Template
  6. Apply the Background (If Needed)
    1. If the template does not already have a background assigned:
    2. Under the Background selection, choose the appropriate background from the drop-down list.
  7. Click Edit Layout

The template layout opens in the editor.


Add a White Cover Shape

  1. From the letters toolbar, select the square shape tool.
  2. Draw a rectangle over the portion of the background you want to hide.


Format the Shape

  1. Select the rectangle. (you may need to click the selection (arrow) tool from the letters toolbar to select the rectangle). Make sure the grey handle boxes are engaged.
  2. Navigate to Format>Show Inspector
  3. In the Inspector:
    1. Check Fill
    • Leave the color set to White, or click the color swatch to choose another color. The Color Picker opens if you want a different fill color.
    • Uncheck Line to remove the border around the shape.
    • Select No Resize, No Move to prevent the shape from being accidentally moved or resized.


Arrange the Shape

  1. With the shape still selected, choose Format>Send to Back

This places the shape behind all text boxes and images while keeping it above the background image, allowing the shape to cover the letterhead without interfering with the rest of the template.

Add Your Content

After the shape has been positioned:

  • Add text boxes over the white shape.
  • Insert images, signatures, or other objects as needed.
  • The white shape provides a clean background, preventing the letterhead from appearing behind your content.

Result

The background remains part of the template, but the white shape masks the letterhead in the selected area, allowing you to create clean-looking pages while preserving the original background.

Tip: Draw the white shape slightly larger than the area you want to cover so that no portion of the letterhead is visible around the edges.
